RehabWeek 2025 Workshop Guidelines and Submission

The RehabWeek invites workshop submissions of 90min, or, in exceptional cases, 180min for Monday, May 12th 2025.

There are two different kinds of workshops:

Clinical & Scientific Workshops:

These workshops provide scientifically sound knowledge from independent organizers, without any promotion of specific devices or companies. If the focus is on a specific device, the expectation is that it is discussed objectively, with all the advantages AND disadvantages. Workshop organizers, chosen by the peer review committee out of all submissions will be invited to conduct their workshop, and are provided with a room including standard AV material. However, RehabWeek is not responsible for any speaker fees, travel reimbursements or other costs occurring. Attendees of these workshops need to purchase a registration to be able to attend them. Special wishes with regards to room equipment or other services (e.g. catering) can be discussed on an individual basis and costs are to be covered by the organizers.

Industry Workshops:

These workshops can be purchased by companies or organizations and can consist of or include promotion of a specific company or device. Attendees can attend these workshops at no cost to them (they will still need to register however). A room and standard AV material will be included in the industry workshops. However, organizers may also choose to conduct part of the workshop (hands-on sessions) in the industry exhibition if they please. RehabWeek is not responsible for any speaker fees, travel reimbursement or other costs occurring. Special wishes with regards to room equipment or other services (e.g. catering) can be discussed on an individual basis and costs are to be covered by the organizers.

Peer reviewers will judge workshop submissions on the following criteria:

  • Presenters / contributors are knowledgeable and diverse.
  • Most presenter / contributors plan to attend RehabWeek in person.
  • Workshop seems well thought out.
  • Workshop will likely attract 30+ people.
  • Workshop will likely attract attendees from different societies and from different professional backgrounds
  • Workshop is planned as interactive course, not just another lecture (planned discussions, breakout sessions, brainstorming – sessions or hands on time for example).
  • Attendees will be able to apply contents to their daily work.

In the previous years we received overwhelmingly positive feedback about all those workshops with major attendee engagement. People very much appreciated the group discussions, the breakout sessions, the quizzes and other ways of which workshop organizers had thought to get people to speak to each other about their chosen topic. Feedback about those workshops where attendees were mostly expected to sit and listen received much lower rating scores.

This has strengthened our commitment to prioritize workshops at RehabWeek that plan a high degree of interaction with and between the participants.

We highly prioritize workshop submission from individuals planning to travel to Chicago. We are aware that this might not be possible for everybody, and we do allow that some speakers provide their contributions to a workshop virtually. However, this should be restricted to only a part of the workshop, and coordinated by the main workshop organizer, who is expected to be present in person in Chicago. We will not accept fully virtual workshops (of course we will adapt if mandated by authorities). Kenes and RehabWeek will not be responsible for collecting or organizing virtual contributions for those who will not attend in person, this will be solely the responsibility of the workshop organizers.

Workshops with less than 10 registrations after the early bird registration deadline will be removed from the program and registrants will be given the opportunity to register for another workshop. Workshop organizers are highly encouraged to promote their workshop in their network and encourage people to attend RehabWeek 2025. Once your workshop is accepted and added to the program, you will receive marketing material along with your confirmation notice.

Before a workshop can be approved for RehabWeek 2025, there are a few guidelines that need to be met to insure success for the attendees, organizers, and RehabWeek.

Submission Process

Submissions due by Friday, Oct 11th, 2024

  1. Workshops take place on Monday, May 12th 2025.
  2. A very limited number of 1-1/2 day workshops will be considered.
  3. One day workshops can be from 3 to 7 hours in length, not including lunch break.
  4. Organizers are responsible for all planning of content for the workshop.
  5. Workshops with less than 10 registrations after the early bird registration deadline will be removed from the program.
  6. Workshops must be self-supported through the registration fee and any outside funding secured by the organizer before the workshop is approved.
  7. A complete budget with all anticipated expenses must be completed by the organizer and approved by RehabWeek Scientific Program Committee so appropriate registration fees can be determined – this includes AV needs, and any food and beverage.
  8. RehabWeek will provide a meeting room and set-up, and will order AV and any food and beverage.
  9. Any RehabWeek staff labor required beyond the basic room set, AV and minimal food and beverage will be billed as part of the cost of the workshop. Organizers will be updated on registration numbers for their workshop and will be alerted if the registrations are low.
